The Motion app — on your phone
Download the app
The app is the easiest way to see your upcoming lessons, check athlete info, and find a parent's phone number.

Open the navigation menu — the three bars, top left — and tap Attendance & Calendar.
Swipe left or right to change weeks, tap a date to see that day's lessons, and swipe up or down to scroll through them.

These are the lessons families can still book with you.
Open the navigation menu, then tap Bookings → Bookings Registration. You'll see your open lessons the same way families do.
Filter by instructor to jump straight to yours instead of scrolling through everyone's.
Look up an athlete's info
Please check this before each lesson so you can prepare.
- Open the navigation menu and tap Attendance & Calendar.
- Find the lesson and tap it.
- Tap the member.
- The Attendance tab opens. Swipe the tabs across to Questions — the athlete's info is there.
For a 2:1 or custom mini-group, the other athletes are listed at the bottom of the Questions tab.
Find a parent's phone number
The number you see first may belong to the athlete. Check the account to be sure you have the parent's.
- Open the navigation menu and tap Attendance & Calendar.
- Find the lesson and tap it, then tap the member.
- Swipe the tabs across to Profile — it's the left-most tab.
- Tap the Account name. The parent's number is on the account.
If you'd rather not share your personal number, you can set up a free Google Voice number.

This is the clearest view of everything at once, booked and unbooked: Bookings → Bookings Admin → your booking → the blue View Calendar button.

Notifications let you know when a lesson is booked or cancelled.
If you train with us occasionally, we recommend turning them on so you know when to check. If you train often and already open the app most days, you may prefer to skip the extra emails.

You can sync your Motion schedule into your personal calendar. Apple, Google, and Outlook all have an option to add a calendar by URL.
This syncs booked lessons only — not your available ones.
Sync your calendarYour personal calendar may take a day to catch up with changes in Motion. Please don't rely on it for anything within 24 hours — check Motion for your latest schedule.
Getting on the schedule
How to
Submit or change my availability
Your hub emails you a Training Availability Form each month. The usual rhythm:
- ~20th — you're emailed the form for the month after next. On August 20th, that's October's form.
- ~3rd — the form is due
- ~10th — those lessons open for families to book
Please only list times you're able to keep.
If something changes, submit the form again with just your name and the days you'd like to update — or email your scheduler if it's small or urgent.
If you have a preference for how you're scheduled, note it on the form.
These dates vary by hub. Your scheduler's email is the one that counts.
Arrange a lesson outside my listed availability
Once you're active and have submitted a Training Availability Form, you can arrange a lesson directly with a family.
Agree on a time and place with them, then email your scheduler. We'll confirm the facility is free and book it — and if it isn't available, we'll offer alternatives.
Update my photo and bio
Photo: use the TVI Headshot Generator. Submit a photo and pick your favorite of three options — your own face is used, so it still looks like you. Your scheduler is notified and updates the website.
Bio: fill out the Trainer Bio Form and let your scheduler know.
Take time away from training
If you expect to be away from training for more than a month, please let your hub leader and your scheduler know.

When my lessons open for registration
Around the 10th, you'll get an email newsletter announcing that next month's lessons are open for registration.
That's your cue to check your available lessons and block those times off in your own calendar, so you're free if a family books them.
How far ahead families can book
Families can book with you up to 24 hours before a lesson starts.
That means an open slot can fill the day before, so please only list availability you're able to keep.
1:1, 2:1, and custom mini-groups
In all three, one family books with you on behalf of everyone attending.
- 1:1 — one athlete.
- 2:1 — two athletes.
- Custom mini-group — one family registers a group of teammates or friends to train with you specifically. Six athletes is the maximum.
2:1 and custom mini-group lessons pay more, and the whole increase goes to you — by default $5 for a 2:1 and $20 for a custom mini-group.
A custom mini-group can be booked up to 24 hours ahead, the same window as your private lessons — they follow your private availability. You're automatically available for all three whenever you have open lessons.
Upcharges can vary by hub — your hub leader can confirm what they are where you are.
Mini-groups
Mini-groups work differently: each one targets a specific skill at a specific level, and athletes sign up individually — so you may have 3 to 6 athletes who don't know each other.
Your hub leader plans these ahead of time, and they usually run weekly at the same time and place. Mini-groups are scheduled before private training availability, so yours are set before the monthly private schedule is built around them.
If you'd like to run mini-groups, reach out to your hub leader.
The short version: a mini-group is planned for you, with the focus set in advance. A custom mini-group finds you, and the group picks the focus.
Changing a booked lesson
How to
Cancel a lesson I can't make
- Reach out to the family directly to let them know.
- If the lesson is less than 48 hours away, fill out the adjustment form. Otherwise, let your scheduler know so we can update our records and square away payments.
In Illinois, include Scheduling in the text. Send it as a group message with included, so Jason can follow up with the family.
In an emergency, contact your hub leader and/or your scheduler. We'll take it from there.
How many lessons you can cancel in a month varies by hub — your hub leader can tell you.
Move a lesson to a new time
- Work out a new time with the family. You can offer any time you're already available in the system.
- If you'd like to move it to a time you're not already available, reach out to your scheduler so we can confirm the facility is free.
- If the lesson is less than 48 hours away, fill out the adjustment form. Otherwise, let your scheduler know so they can make the change.
Report that I was running late
- Let the family know as soon as you can.
- After the lesson, fill out the adjustment form.
In Illinois, include Scheduling in the text. Send it as a group message with included, so Jason can follow up with the family.
You're paid for the minutes you're actively coaching, and the family is refunded the difference.
Report an athlete who wasn't booked
An extra athlete means the lesson changed — a 1:1 became a 2:1, or a 2:1 became a custom mini-group.
Fill out the adjustment form so we can charge the family and pay you accordingly.

The Less Than 48-Hours Lesson Adjustment Form
Use it any time something changes about a lesson less than 48 hours away:
- you cancelled, or you were running late
- the time or location moved
- an extra athlete joined
Notify the family yourself, too. Any time something changes inside 48 hours, they need to hear it from you — the form tells us, not them.
Fill out one form per lesson. If several lessons changed, each one needs its own.
The form reaches both scheduling and finance, so you don't need to email anyone separately. You may not get a reply, and that's expected — what matters is that your pay reflects the lesson you actually taught.

Families can't cancel inside 24 hours themselves in Motion. If one contacts us to cancel late, we'll let you know — and you'll still be paid.

How to
Respond when an athlete gets hurt
- Stop the session. Have them rest, even if they feel able to continue.
- Don't move them if the head, neck, or back might be involved.
- Call 911 for a head, neck, or back injury, loss of consciousness, trouble breathing, a seizure, heavy bleeding, or an obvious break. If you're unsure, call.
- Reach the parent. If they aren't there, call right away — parents make medical decisions, not trainers.
- Don't diagnose or offer reassurance about the injury, and don't give any medication, including over-the-counter.
- End the session for the day.
- Let your hub leader and your scheduler know the same day.
Respond when a family doesn't show up
- Call the family at the parent's number to see whether they're still coming.
- If it goes to voicemail, leave a message saying you'll wait at the gym until 15 minutes after the lesson's start time before you leave, and that they should reach out to TVI Scheduling with any questions.
- Wait until then, and if they haven't arrived you're free to go.
Report a locked door or a facility problem
Contact your hub leader or your scheduler.
The Illinois Facility Guides walk through entry instructions for each location, including codes and alarms.
Ask your hub about codes, alarms, and access before your first lesson at a new facility.

Nets and equipment
Every facility provides a net and several balls. Setter targets and radar guns may be available depending on the facility.
Please arrive early enough to set the net up before your lesson, and take it down afterward — unless someone is training directly after you, or your hub staff have told you otherwise.
If you'd like particular equipment at your facility, or something is broken or missing, talk to your hub leader — they handle equipment purchases.
In Illinois, may be consulted on equipment as well.
Who's allowed in the building
Only the family scheduled with you may enter. If someone else needs access, please direct them to contact the facility directly.

When and how I get paid
By Zelle, the evening of your lesson.
Setup and teardown time isn't paid.
If you're ever overpaid or underpaid, your next payment is adjusted to even it out.
Please send pay questions to your scheduler rather than our finance team.
Taxes and my 1099
Your signed agreement makes you an independent contractor, not an employee, so there are no employee benefits — no health insurance, no paid vacation.
- Nothing is withheld from your payments. Taxes are yours to handle.
- You complete a W-9, which is what lets us report what we paid you.
- Tax documents come from Hurlburt, LLC — the company behind The Volleyball Institute.
What we expect of you
Arrive ready to run a good session
Two things we count on: check the athlete's info beforehand so you know who you're working with, and arrive in time to set up before the start.

Please don't wear club apparel to lessons. Athletes come to us from every club in the area, and we want each of them to feel equally at home.
Club neutralityTraining athletes outside TVI
You're welcome to keep training an athlete you already coach somewhere else.
A relationship that starts at TVI shouldn't become training outside TVI. Your agreement also includes a two-year, fifty-mile non-compete.

Carrying your own insurance
Your agreement asks you to carry your own insurance coverage. TVI doesn't provide it.
